In this ProPresenter 101 video, I’m breaking down one of the most confusing “beginner” topics that I still get questions about from coaching calls and emails: libraries, playlists, and songs—and how they all fit together. The big idea is simple: everything lives in a Library. Your presentations, songs, media… it all gets stored there. You can run one library (that’s what I prefer), or create multiple libraries if one computer is shared across different ministries like youth, weekends, or college. Then we talk playlists—because playlists are where you build the actual service flow. I show how to import a song (SongSelect/MultiTracks), choose a theme, and—most importantly—send it to a playlist so you’re not hunting for it later. I also walk through basic slide/group cleanup (Intro, Verse, Interlude, Outro), and how the Reflow editor ties in when you need to fix formatting (because more than two lines… that’s just wild). Finally, I cover practical organization and backup workflows: “Show in Library,” “Show in Finder,” exporting a single item versus exporting an entire playlist (including media), and using playlist templates or Planning Center Services to auto-populate a service. I also show headers, placeholders, and even linking a timer to a header so your countdown triggers when you click into a section.
