About This Video

In this video, I show you how to change your working days and working times in Microsoft Project. By default, when you create a project, Microsoft Project uses a base calendar to schedule work—typically Monday to Friday, around 8:00 a.m. to 5:00 p.m. But if your team works different hours (or you’ve got shifts, onsite days, or anything outside the default), you’ll want to adjust the calendar so your schedule actually matches reality. I walk you through where to find the setting: go to the Project tab and click “Change Working Time.” From there you can choose the standard calendar, switch to something like 24 Hours or Night Shift, and then fine-tune the work weeks. I also show you how to hit “Details” to set specific days as non-working time or set custom time ranges—like starting earlier, adding a lunch break, and finishing earlier. Finally, I cover how to set a specific date (like an onsite day) to different hours, so your plan updates properly. Once you click OK, Project adjusts the schedule based on those working day changes.
