I didn’t realize that grabbing a “simple” to-do app in 2020 would turn into a four-year rabbit hole of testing basically every top task manager on the market. In this video, I break down what we actually found after living inside Todoist, TickTick, Superlist, Notion, and Motion—what we loved, what we outgrew, and what I’d tell you to avoid if you want to be productive instead of endlessly “setting up” productivity. We start with Todoist: I originally hated it because it felt bloated, pushy with upgrade CTAs, and like there were too many knobs to turn for every single task. Today, I still think it’s a solid, intuitive, basic task list—especially for personal organization—but it’s not where I’d go for serious team execution. TickTick was my longest-running personal tasks app because it’s simple and has a generous free tier, but the calendar sync is laggy and we outgrew it as our definition of “good” evolved. Superlist is our “shared personal lists” tool (moving checklists, purchases, links, images), with beautiful design but real bugs today. And Notion? We strongly recommend you don’t use it for task management—building your own system is usually just procrastination. The punchline: Motion changed the game for us by putting tasks directly onto the calendar, and it ultimately replaced Asana, TickTick, and Calendly in our stack.
