About This Video

If you’re juggling a million tools your clients barely touch, this is the exact setup I use to turn Slack into a mini client portal + lightweight project management system. I’m Marie (automation junkie + EA), and I built my Slack so clients can find what they need fast—without forcing them into “yet another portal.” I organize my left sidebar into sections based on client stage (onboarding, initial setup, one-time buildouts, ongoing, idle), so I’m not hunting for channels or living in the wrong threads all day. The magic is the automation. When a new lead signs, I run an automated flow that creates their Slack channel, sends a welcome message, invites my EA, creates ClickUp lists/tasks, builds a “master hub,” and even spins up shared Google Drive folders—while I’m sleeping. Inside the client channel, I use Slack Canvases as the real “portal”: a welcome packet (“The Royal Way”), best practices (how to send voice notes/video messages—because I prefer those before calls), out-of-office dates, timelines for project clients, and a central “All the Things” area. I also show how I connect Airtable forms (my Royal Hub) for task requests, tool stack/password sharing via a dedicated code, and hour tracking so clients can see what they’ve used and what’s left. The takeaway: stop overutilizing systems—maximize the ones you already have, and make it easy for clients to actually participate.
