Having "ChatGPT — approved for general use" on your software list is not governance. Your finance director could be uploading supplier contracts to a tool that stores that data on servers you have no visibility over. Gap 2 — Data: What data is going into your AI systems, and who owns what comes out? Free and even paid AI models typically store your data and use it for training unless you actively switch that off. Enterprise-grade protection requires enterprise-grade tools — and knowing exactly what you have agreed to in the terms of service. Gap 3 — Accountability: When AI makes a decision affecting a customer, an employee, or a commercial relationship, who is legally responsible? The EU AI Act places specific obligations on organisations deploying AI in high-risk categories, including credit scoring and employment decisions. If your accountability chain does not extend to the AI system, you are exposed. Gap 4 — Skills: Can your board ask the right questions when someone says "we're rolling out AI across the business"? Do they understand the difference between a large language model and a rules-based system? Can they read a vendor's AI claims critically? These are governance questions, not technical ones, and this gap drives every other gap on this list. Gap 5 — Audit: Can you prove, after the fact, what your AI systems decided, on what basis, and with what data? Organisations build AI workflows without building the logging, version control, or decision trails that would allow them to reconstruct events after a complaint or investigation.
