In this video I break down how I build a productivity calendar when you’re a busy business owner (and yeah… I’m right there with you). I run two businesses, stay home, and I’m raising/homeschooling my four-year-old—so I don’t have “all day” to organize a calendar. The whole secret is finding your focus time, and I show you three common setups: the early bird, the 9-to-5, and the night owl. I walk through real examples in Google Calendar, and I show a simple way to “color coordinate” without making a confusing rainbow—by creating separate calendars you can toggle on/off. Then I give you four tactics: (1) build your calendar around focus time (deep work like funnels, emails, writing, research), (2) schedule as far out as you can so your brain stops trying to remember everything, (3) either delegate or find an alternative—spend time figuring out how to not spend time (like how I wrote a book in a week by outlining, recording, transcribing, and editing), and (4) commit to testing your new routine for 7 days before you judge it. At the end I rapid-fire my top time management tips: time everything for a few days, use the right medium (digital calendar + paper to-do list), create an input system, chunk routines instead of micro-scheduling, batch tasks, leave space for poor planning, don’t overcomplicate it, be flexible and move blocks around, email yourself a daily agenda, and add everything you want to track—work, life, hobbies, even the “full Elon” minute-by-minute approach if you need it at first.
